Your team already drops paperwork into Dropbox. CashFish watches those folders and turns each scan into a draft record waiting for your sign-off — usually within about thirty seconds of the file landing.

01The pile that waits for a quiet Friday

The scanning is done.
The typing is the part that waits.

Getting paperwork into Dropbox was solved years ago. Getting it out of Dropbox and into numbers is still somebody sitting down with a keyboard and a coffee.

THE VAN
The crew photographs the fuel receipt at the pump
It is in the shared folder before the van pulls away — correct, legible, and completely inert. It will be a cost line whenever someone types it.

THE FRIDAY
Forty-four documents, one keyboard
Manual entry is nobody's job, so it becomes everybody's Friday afternoon: reading amounts off photographs and retyping them into rows that already exist as pictures.
44 waiting · one sitting
THE DOUBLE
The same receipt, filed twice
One person scans it, another forwards it, both get entered. One $68.40 purchase, two entries, and a cost line that is now quietly wrong.
counted twice · $68.40

The document was never the bottleneck. The retyping was.

02What a drop folder becomes

Whatever the crew drops,
read the same way.

Photos, scans and PDFs are treated identically. Nominate the folder your team already uses — or make a fresh one and share it — and new files are picked up in about thirty seconds.

One way in. Files flow one direction — from Dropbox into CashFish. Your Dropbox contents are never modified, reorganized, or added to.

Team drop foldersshared folders where any colleague can file — duplicates caught automatically

Personal Dropbox, Plus, Professional and every Dropbox Business tier are supported. On a team account, watching a shared folder lets colleagues file receipts without needing their own CashFish login.

03The contract, and the date that matters

A photograph taken at a pump,
and the three fields inside it.

Speed is only useful if the reading is right. Each file gives up the same three things — who it was with, what it was worth, when it is due — and anything ambiguous is flagged instead of guessed.

04What changes

The manual-entry pile
drains on its own.

Three things that are different a month after connecting Dropbox — with the numbers each one actually produces.

01
The manual-entry pile shrinks
Four weeks after connecting, most paperwork never touches a keyboard. What used to wait for a quiet Friday drains on its own.
Documents waiting on manual entry, weeks 1–4 after connecting
02
Field paperwork arrives intact
A crew member photographs the fuel receipt at the pump. By the time they're back in the van, it's a draft expense with vendor, date, and amount filled in.

03
Odd formats stop being a problem
Photos, scans, and PDFs are all read the same way. Duplicates are caught before they double your costs, and anything ambiguous gets flagged instead of guessed.

05Three steps to connected

Connect it once.
Then stop thinking about it.

Three steps, and the first drafts are waiting before the kettle boils.

01
Connect through Dropbox
Approve the scoped-access request in Dropbox's own OAuth screen. CashFish gets read access to designated folders — not your whole Dropbox.
02
Set up a drop zone
Nominate the folder your team already scans into, or create a fresh one and share it with the crew. Multiple folders are fine.
03
File and approve
New files are picked up in about 30 seconds and turned into draft records. You confirm them from the review queue — nothing enters your books unreviewed.
Dropbox OAuth — scoped folder access, read-only

Dropbox's own OAuth screen grants scoped, read-only access to the folders you name. You can revoke the token independently from Dropbox's connected-apps page, and the connection's state is visible in CashFish's Connection Health panel. Data is protected with 256-bit encryption under SOC 2 Type II, ISO 27001 and GDPR, and every connection can be reviewed or disconnected from the Connection Health panel in settings.

06Connects well with

Documents rarely
arrive from one place.

Google Drive
Aim CashFish at a Drive folder and the backlog is worked through file by file.
OneDrive
OneDrive folders and SharePoint-backed libraries, read through the Graph API.
Outlook
The mailbox the supplier bills already arrive in, with 150 days of history on connect.
airSlate SignNow
Completion webhooks bring contract amounts across within about a minute.

Duplicate detection runs across every source, so the same invoice appearing in a mailbox and a shared folder is recorded once. Accounting sync with QuickBooks and Xero is a one-way import into CashFish — your accounting file stays the ledger and is never written to. Shopify is in private beta and available by request only.
