01Before the connection

Your store runs on your own server.
So does the bookkeeping.

WooCommerce hands you the whole stack, and the whole ledger with it. Orders, coupons, refunds and gateway fees all exist — in four different places.

The gateway fee never appears on the order
The order says $120. Stripe deposits $116.22. The $3.78 lives in a payout report you open about once a quarter.
$3.78 · order says $120
Tax-inclusive prices hide half the arithmetic
A $120 price with tax inside it is not $120 of revenue, and every product line handles it slightly differently.

02What flows in

Five things arrive
over the REST API.

The key is read-only. Here is everything it reads, and the one direction it travels.

DIRECTION OF TRAVELData moves one way, from WooCommerce into CashFish — your store, plugins and theme are never modified.

One order.
Six numbers.
Only one of them yours.

The customer paid $120. Four different systems took a piece of it before the money settled.

Gateway fees and refunds are read per order rather than per payout. The $3.78 stops hiding in a quarterly report, and the refund lands on the sale that caused it.

04What becomes visible

What that changes
over a month.

01
What is left after the gateways take their cut
Processing fees are small per order and large per month. CashFish books them as expenses so net revenue is a real number.
02
Refunds and coupons without journal entries
A discount code or a partial refund adjusts the books on its own — no end-of-month cleanup pass.
03
A cash flow picture that includes the store
Store revenue sits in the same dashboard as your other income and costs, so the weekly rhythm is visible at a glance.

Forecasting in CashFish is built from this history — real orders, real fees, real receivables and recurring patterns. It produces estimates, not certainties, and it never claims to know what next quarter will do.

05How to begin

One key, generated in your own admin.

01
Create a read-only API key
In WooCommerce, go to Settings, then Advanced, then REST API, and generate a key with Read permissions.
02
Add the key in CashFish
Paste the key and secret under Integrations. Works on any hosting that allows outbound API connections — shared, VPS or managed WordPress.
03
Map categories and import history
Point product categories and tax classes at the right revenue lines, optionally import past orders, and the sync runs from there.
06Connects well with

Most stores are more than one channel.

Store, payment and bank connections all sit on Growth and above, so a shop, a card processor and a business account can report into the same set of books. QuickBooks and Xero import one way into CashFish and are never written back to.

07The plan for this

Give your store
books that keep up.

One read-only key connects WooCommerce in minutes. Start with the 4-day free trial.

You will need Growth or higher — that is the tier where store and payment connections live. Starter handles email documents only.

08Straight answers

Five things sellers ask
before they connect.

Yes, as long as your WordPress hosting allows outbound API connections — which covers shared hosting, VPS and managed hosts like WP Engine, Kinsta and Cloudways. The connection reads WooCommerce data over the REST API, so there is nothing to install on your server.
